Send one clean list of entries and fees to the promoter, then carry the same sheet to poolside and have the results next to the times you entered.
Team managers, club secretaries and parents who organise a swimming club's entries for open meets, league galas and county events.
2 pages, in this order:
Printed under the title: A club's entries for one gala on one page — every swimmer and event with the entry time submitted, then the heat and lane when the programme comes out, and the time swum on the day next to it.
The meet pack sets the conditions. Entry times are the swimmer's own from a previous meet or your club's time trial, written as the meet asks for them. Which events a swimmer may enter, in what age band and with what qualifying time is the gala's own condition — check the meet pack. The entry fee is whatever the promoter set.
Write-on lines: Gala / meet · Venue · Date · Pool length · Team manager · Entries close · Entry fee each (promoter's) · Total entries · Total fees · Sent on · Confirmed
Table, 12 rows: Swimmer · Age band · Event no. · Stroke / distance · Entry time · Heat · Lane · Time swum · Place · PB?

Because every meet sets its own — the age on the day, the age at year end, the cut-off times. The meet pack is the only source that is right for that gala, so the sheet takes what it says rather than guessing.
On the Swimming Training Log, which tracks one swimmer over time. This sheet is the club's list for one gala.

Write the session once, read it off the board at poolside, and keep it so a block of training can be looked back over rather than remembered.
Take entries in one place, know who has paid and who has withdrawn, and have the seeding decided and recorded before anyone fills in the draw.
Get a team to an away fixture with nobody left at the ground and nobody in a car their parent did not know about.
Every sheet, binder, game and puzzle on Upkeep Papers is free to download, with no email and no account. Making them is not free: each one takes days of research, design and checking, and the site costs money to run. If something here saved you time, you can buy us a coffee. It is entirely optional: nothing is locked, and nothing changes if you don’t.
