What this sheet is for

Get one signed count for every match day and function, so the treasurer can match the safe and the bank statement to a piece of paper.

Who it is for

Bar volunteers, duty committee members and treasurers at sports clubs with a clubhouse.

How to use it

  1. Count the float out and write it in before the bar opens.
  2. At close, count the cash and card takings for each till or reader.
  3. List the other income — teas, raffle, gate, hire — on its own lines.
  4. Total the day, sign it with a second person, and put it in the safe with the cash.
  5. Fill in the paying-in reference once it is banked.

What is on the sheet

One page, top to bottom:

Printed under the title: One match day or function at the clubhouse — the bar float and takings by till, the teas, raffle, gate and hire money alongside it, and one signature for the lot before it goes in the safe.

Float out, everything back. Count the float out before the bar opens and everything back at close: cash takings are the till less the float. Cash and card stay apart so the bank statement matches.

Questions

Why keep cash and card apart?

Because they arrive in the bank separately — card takings as a settlement from the reader, cash as a paying-in slip. Kept apart on the sheet, each can be matched to its own line on the statement.
