What this sheet is for

Track what a job finished at and, more importantly, when the money still being held falls due to come back.

Who it is for

Sub-contractors, small builders and trades working under contracts that hold retention.

How to use it

  1. List every variation as a line, with its reference.
  2. Record what was certified as well as what was paid; they differ.
  3. Write the release dates in as soon as the contract is signed, not at the end.
  4. Diarise the release dates somewhere other than this sheet as well.
  5. Record the date you chased, every time you chase.

What is on the sheet

The layout is fixed at a size that fits both A4 and US Letter, so the A4 and Letter files are visually identical and print at full size on either. Rows are set at a height that an adult can actually write a date and a few words into with a pen — most printable tables are built in a word processor and never tested with one.

Questions

How much retention is normal and how long is it held?

That is in your contract, and it varies widely. This sheet prints no percentages and no periods on purpose — a printed figure would be wrong for most readers and might be taken as what you had agreed to.
