What this sheet is for

Know what a printer really costs per page, which consumable keeps running out, and the exact part number to reorder without opening the machine.

Who it is for

Office managers, IT support and anyone on a copier contract that bills by the meter reading.

How to use it

  1. Fill in the printer's make, model, serial and supplier once at the top.
  2. Take the meter reading from the machine's own counter on a regular day and log it.
  3. Log every consumable as it is fitted, with the part number from the box.
  4. Tick 'reordered' when the replacement is ordered, so two people do not order it.

What is on the sheet

One page, top to bottom:

Printed under the title: One printer or copier's meter readings and every cartridge, drum and fuser fitted to it — so the cost per page and the toner that keeps running out are both on record.

Meter from the machine, part number from the box. Take the meter reading from the machine's own counter or status page each time, and write the consumable's part number from the box, not the machine's model number — the two are different and a wrong reorder is the usual result.

Write-on lines: Printer make & model · Asset / serial no. · Location · Supplier

Meter readings — from the machine's own counter

Questions

Why keep one sheet per printer rather than one for the office?

Because consumables are not interchangeable between models and meter readings only mean something against one machine. One sheet per printer is also what a copier contract asks for when it wants readings.
