What this sheet is for

Keep the cupboard stocked before it runs dry, and stop two people ordering the same box of toner in the same week.

Who it is for

Office administrators, receptionists and anyone who has been sent to find paper and found none.

How to use it

  1. List the items you actually keep, in the unit you buy them in.
  2. Set your own reorder level for each item from how fast it goes.
  3. Count on a fixed day and fill the 'in stock' column.
  4. Order anything at or below its level, and log the order and the delivery date.

What is on the sheet

One page, top to bottom:

Printed under the title: The stationery cupboard counted, item by item — what is there, the level you reorder at, what was ordered and when it arrived — so the cupboard is stocked before it is empty, not after.

Your own reorder level, in the unit you buy. The reorder level is yours to set from how fast each item goes and how long your supplier takes, and it is different for every item: paper goes far faster than staples. Count in the unit you buy in — reams, boxes, packs — not single pens.

Write-on lines: Cupboard / location · Count date · Counted by · Usual supplier

Table, 15 rows: Item · Unit · In stock · Reorder at · Order qty · Ordered on · Received · Notes

Questions

Why is the reorder level blank?

Because it depends entirely on how fast your office uses each thing and how long your supplier takes. A firm that prints all day and one that prints once a week need very different paper levels; the sheet asks for yours rather than guessing.
