What this sheet is for

Answer 'did that go out, and when?' from a single page, and trace any parcel by the reference written down before the driver left.

Who it is for

Reception desks, office administrators and small firms that send contracts, samples or returns and need to prove they did.

How to use it

  1. Log every item as it is handed to the post or the courier, not at the end of the day.
  2. Write the tracking reference from the label or receipt before the driver leaves.
  3. Note the cost if you recharge postage to clients or jobs.
  4. Fill the delivered column once tracking or the recipient confirms arrival.

What is on the sheet

One page, top to bottom:

Printed under the title: Everything that leaves the building by post or courier — who it went to, how it was sent, the tracking reference and who handed it over — so 'did that ever go out?' has an answer.

Reference before the driver leaves. The tracking reference is the whole point of this sheet. A courier collection without a reference written here is a parcel you cannot trace once it has gone; write it before the driver leaves, not from memory afterwards.

Questions

Should incoming post go on here too?

No — this is a despatch log, and mixing the two directions on one page makes both harder to read. Keep incoming post on its own sheet if you need to track it; the Delivery Note sheet suits goods arriving.
