What this sheet is for

See what is actually on the shelves without counting the whole store, and spot the item that is about to run out before the next session opens.

Who it is for

Food banks, community larders, church pantries and any project that takes in donated food and issues it again.

How to use it

  1. Open a line for each item you hold and keep the running balance up to date.
  2. Record donations and deliveries in the 'In' column as they are unpacked.
  3. Record what leaves against the parcel reference it went into.
  4. Tick the date-check column each time the stock for that item is checked.
  5. Count the shelves against the sheet at the end of each session.

What is on the sheet

One page, top to bottom:

Printed under the title: What came into the store, what went out again and what is left — a running stock line for each item a food bank or community larder holds.

Your storage practice decides. Date checking, storage and how long anything is held are set by your own food safety practice and the rules where you are — write your own date-check column in and use it. Nothing on this sheet tells you what to keep or for how long.

Questions

Why is there nothing about how long food can be kept?

Because that belongs to your own food safety practice and the rules where you are, which differ between countries and between projects. The sheet gives you a column to tick once dates have been checked, and leaves the standard to you.

Should this be one sheet per item or one sheet for everything?

Either works. Small stores run one sheet in date order for everything; busier ones give the heavy items a sheet each and keep a general sheet for the rest.
