Who this is for

Keep each neighbour's party wall paperwork in step. Each adjoining owner gets a line for the notice served, the reply, the surveyor, the record of their property's condition and the date of any agreement or award, and a follow-up table keeps conversations and promises dated.

Homeowners planning an extension, loft conversion, basement or other work on or near a shared wall or boundary, and anyone handling the paperwork for neighbours on more than one side.

What this helps you track

  • Every adjoining owner affected by the work, and their address
  • The date each notice was served and how it was delivered
  • Each reply and its date: consent, dissent or nothing yet
  • Surveyors, condition records and the date of any agreement or award
  • Follow-ups and promises, with who is doing what by when

How to use it

  1. Write the property, the planned work and start date, and the notice period that applies to you, taken from official guidance or your surveyor.
  2. Add a line for each adjoining owner as you serve notice, with the date and how it was delivered, and keep a copy of every notice.
  3. Record each reply as it comes in, and the surveyor arrangement if one is needed.
  4. Note the date the condition record was made and the date any agreement or award was signed, and tick Filed when your copy is safe.
  5. Log every conversation and promised action in the follow-up table; the browser version saves in your own browser.

Formats

  • Printable PDF (A4 and US Letter)
  • Fillable PDF with form fields
  • Fill in online, saved in your browser

The printable is laid out inside a box that fits both A4 and US Letter, so the two files are identical and neither one is scaled. The fillable PDF has real form fields. The online version keeps what you enter in your own browser and builds the completed PDF on your device.

How to print

Download the A4 or US Letter file to match the paper in your printer, open it in a PDF reader and print at 100% — not "fit to page", which shrinks the writing space. Both files leave a 14 mm margin, which clears the unprintable edge on home printers. To print the online version with your entries in it, use the Print this sheet button, which prints only the sheet and none of the page around it. More on printing.

Questions

Does my work need a party wall notice?

That depends on the work and the rules where you are, so this sheet does not say. Check the official guidance or ask a surveyor before fixing a start date, and list every neighbour who may be affected.

How much notice do I have to give?

The rules where you are set the notice period, and it can differ with the type of work. Write the period that applies to you at the top and count back from the planned start to find your latest date to serve.

What goes in the condition column?

The date a record of the neighbour's side was made before work began, usually notes and photos. Keep the photos where they can be found if a question about damage comes up later, and say where in the follow-ups.

How is this different from the renovation approvals record?

The approvals record gives each consent for a project one line. This tracker follows each neighbour through notice, reply, surveyor, condition record and agreement, which is where party wall matters tend to take time.

Should I talk to my neighbours first?

Many people do, and an early conversation often makes the formal steps smoother. Record what was said in the follow-up table, and put anything agreed in writing.
