2 pages. The A4 and US Letter files are laid out identically, so neither is shrunk to fit.

Spreadsheet formulas included

The fillable versions have real form fields — open them in any PDF reader, type into them and save. Printing help.

Fill it in online

The same sheet, on screen. Totals and figures are worked out as you type, rows can be added or removed, and you can print it or download the completed version as a PDF. Everything stays in your browser — your entries are kept in this browser's own storage on this device, nothing is uploaded, and there is no account.

Who this is for

Describe the job once so every builder prices the same work. Page one lists the work line by line, room by room, with who supplies materials, the finish wanted and a price column for the builder; page two covers protection, waste, making good, permissions and certificates.

Homeowners getting quotes for a renovation, extension, kitchen or bathroom without an architect or surveyor writing a specification, and anyone who wants a written record of exactly what was agreed.

What this helps you track

  • Every piece of work, numbered, so quotes and questions can refer to it
  • Who supplies each set of materials, and the finish you expect
  • The general items quotes often leave out: protection, waste and making good
  • A price per line from each builder, totalled
  • Exclusions and assumptions written down before work starts

How to use it

  1. Fill in the property, the start window, working hours, access and what the finished work should achieve.
  2. List the work room by room, one task per numbered line, in plain words; give a product or finish reference where you have one.
  3. Mark who supplies the materials for each line, and set out the general items on page two.
  4. Send the same sheet to each builder and ask them to price every line and list their exclusions; the totals are worked out in the browser and the workbook.
  5. Keep the agreed version with the contract and record later changes separately; the browser version saves in your own browser.

Formats

  • Printable PDF (A4 and US Letter)
  • Fillable PDF with form fields
  • Fill in online, saved in your browser
  • Excel / Google Sheets workbook

The printable is laid out inside a box that fits both A4 and US Letter, so the two files are identical and neither one is scaled. The fillable PDF has real form fields. The workbook uses plain formulas only — SUM, IF, COUNTIF and the like — so it opens in Excel, LibreOffice and Google Sheets without anything breaking, and every calculated cell is grey so you can see which figures it worked out.

How to print

Download the A4 or US Letter file to match the paper in your printer, open it in a PDF reader and print at 100% — not "fit to page", which shrinks the writing space. Both files leave a 14 mm margin, which clears the unprintable edge on home printers. To print the online version with your entries in it, use the Print this sheet button, which prints only the sheet and none of the page around it. More on printing.

Questions

Why price line by line rather than one total?

Prices per line show where quotes really differ, make it easier to add or drop an item, and give a reference if a line changes later. A single total hides all of that.

Do I need technical language?

No. Plain words saying what you want done, and where, are enough for a builder to ask the right questions. Add drawings, photos or product details where they help.

What goes under general items?

The work not tied to one room: protecting floors and furniture, waste, making good after other trades, permissions and notices, and the certificates you expect at handover. These are often where quotes differ most.

How does this fit with the quote inclusions checklist?

This sheet goes out before quoting so every builder prices the same job. The inclusions checklist is for afterwards, to compare what came back, especially from a builder who priced on their own terms.
