One page. Choose your paper size — both versions are laid out identically, so neither one gets shrunk to fit.
Print it and write on it
Fill it in type and save
The fillable versions have real form fields — open them in any PDF reader, type into them and save. Printing help.
Answer a question about any hallmarked piece — when it went, what was declared, what came back — from one page instead of a drawer of packet slips.
Jewellers, silversmiths and small workshops that send their own work to an assay office under a registered mark.
One page, top to bottom:
Printed under the title: One packet sent for hallmarking on one sheet — the pieces in it with declared metal and weight, the marks asked for, and what came back.
The office sets the rules. What has to be marked, the weight thresholds and the charges are set by your assay office and the rules where you are — check with them and write their figures in. This is your record of what was sent and returned, not a statement of what is required.
Write-on lines: Maker / sponsor's mark · Assay office · Account / customer no. · Packet ref · Date sent · Sent by · Items in packet · Total weight sent · Marks requested
Table, 10 rows: No. · Item · Metal & fineness · Weight · Mark where · Mark type · Result · Notes
Write-on lines: Returned on · Charge · Invoice no. · Outcome and anything queried
No. What has to be marked, the weight thresholds and the charges are set by the assay office and the rules where you are, and they differ from place to place. Check with your office and write their figures into the blanks; this sheet only records what you sent and what came back.
Because queries come back about pieces, not packets — a solder seam that tested under fineness, a mark struck in the wrong place. A page per packet gives every piece its own line and keeps it with the packet's dates, charge and outcome.
Work out a price, a repeat or a repair from what the piece actually took in metal, stones and hours, instead of from memory.
Record identifying detail and paperwork for each piece before it is needed, which is invariably after something has gone.
Keep a catalogue of finished work and where it went, which is the record galleries, insurers and tax authorities ask for and working artists rarely have.
Keep one line per sale as it happens, with the payment recorded beside it, so the month adds up from something written on the day.
Every sheet, binder, game and puzzle on Upkeep Papers is free to download, with no email and no account. Making them is not free: each one takes days of research, design and checking, and the site costs money to run. If something here saved you time, you can buy us a coffee. It is entirely optional: nothing is locked, and nothing changes if you don’t.
