What this sheet is for

Capture the road costs that never reach the fuel log, so an expense claim can be assembled from a record rather than from a pocketful of tickets.

Who it is for

Drivers who claim expenses, small operators recharging costs to customers, and anyone whose journeys involve tolls, crossings or paid parking.

How to use it

  1. Log each charge on the day, before the ticket goes through the wash.
  2. Say where it was as well as what it was for — a road, a crossing, a car park.
  3. Tick the receipt column only when you actually have the receipt.
  4. Write the job or customer in the recharge column at the time, not later.
  5. Total the column yourself when you submit the claim.

What is on the sheet

One page, top to bottom:

Printed under the title: The costs that never appear on a fuel receipt — tolls, congestion and clean-air charges, parking and ferries — logged per vehicle with the receipt tracked and the job it belongs to.

Separate from the fuel log on purpose. Keep this alongside the fuel log rather than inside it. Mixing a car park ticket in with litres and odometer readings makes the consumption figures harder to read and the expense claim harder to assemble.

Questions

Why keep this separate from the fuel log?

Because a fuel log works on litres, odometer readings and consumption, and dropping a car park ticket into it spoils both. Keeping them apart leaves the fuel figures clean and makes the expense claim easier to assemble.

Is there a total row?

No. Claims are made over different periods and often split between jobs, so the sheet leaves the totalling to you rather than forcing everyone into one period.
