What this sheet is for

Keep an espresso machine's daily clean and its service history on one sheet, so a fault or a filter change can be dated and the engineer sees what was done.

Who it is for

Baristas, café owners, restaurant and bar managers, and anyone looking after an espresso machine in a hotel, office or club.

How to use it

  1. Fill in the machine, serial, grinder and water filter details once at the top.
  2. At close-down each day, tick the back-flush, wands, drip tray, grinder and milk kit, and initial the row.
  3. Log descales, gaskets, shower screens and engineer visits in the lower table.
  4. Write the next due date for filters and services from your supplier's guidance.

What is on the sheet

One page, top to bottom:

Printed under the title: One espresso machine and its grinder: the close-down clean ticked off each day, and a separate history of descales, water filter changes, gaskets and engineer visits. What the machine needs and how often is your supplier's call, not this sheet's.

Write-on lines: Machine (make / model) · Serial no. · Site / counter · Grinder · Water filter type · Filter fitted (date) · Filter next due (supplier's figure) · Service contact

Close-down clean — tick each job as it is done, initial the row

Table, 7 rows: Date · Groups back-flushed · Baskets & handles · Steam wands · Drip tray & drain · Grinder & hopper · Milk jugs & fridge · By

Service, descale and parts — anything beyond the daily clean

Table, 5 rows: Date · Work done · Parts / filter fitted · Done by · Next due

Questions

How often should the machine be descaled or the filter changed?

That depends on the machine, your water and the filter fitted, and it is your supplier's or engineer's figure to give. The sheet has a next-due blank so their interval is written down where the person cleaning the machine will see it.
