What this sheet is for

Get everyone and their kit from the old desk to the right new one, with a record of whose crate is whose and who is actually up and running afterwards.

Who it is for

Office managers and IT teams running a floor reshuffle, an office move or a merger of two offices into one.

How to use it

  1. Work through the before-the-move checklist first; the network test is the one most often skipped.
  2. Fill one row per person with the old and new desk numbers and issue the crate label from this sheet.
  3. On move day, tick 'kit moved' as crates are unpacked at the new desk.
  4. Have each person tick 'PC OK' and 'phone OK' themselves before the removal firm leaves.

What is on the sheet

One page, top to bottom:

Printed under the title: One row per person for an office move — where they sit now, where they are going, the crate label on their kit, and whether their phone and computer were working again at the new desk.

Ticked at the new desk, not the old one. Write the crate label on this sheet before it goes on the crate, so the label and the list can never disagree. Nothing counts as moved until the last two columns are ticked by the person sitting at the new desk, not by the mover.

Write-on lines: Moving from · Moving to · Move date · Move coordinator

Before the move — tick when done

  • New floor plan agreed and desk numbers marked on it
  • Every person told their new desk number in writing
  • Crate labels issued, one per person, matching this sheet
  • Network points and power at each new desk tested
  • Removal firm given the plan and access arrangements
  • Post, deliveries and signage told the new location

Desk allocation — one row per person

Table, 9 rows: Name · Team · Old desk · New desk · Crate label · Kit moved · PC OK · Phone OK · Notes

Questions

Why does the person tick the last two columns, not the mover?

Because the mover knows the crate arrived, not that the machine boots and the phone rings. A move is finished when the person can work, and the only way to know that is to have them say so at the new desk.
