What this sheet is for

Tie a batch code on a shelf back to a tank, a label version and a box of closures, and catch a run where the bottles and the labels do not add up.

Who it is for

Small brewers, cider and juice makers, sauce, oil, vinegar and cordial producers — anyone who fills and labels their own containers.

How to use it

  1. Write the batch code and label version at the top before the first bottle is filled, and check a bottle against them.
  2. Record the supplier lot for bottles, closures and labels so the packaging is traceable as well as the contents.
  3. Do the fill, closure, label and code checks at intervals you set, and count rejects as you go.
  4. Reconcile bulk volume, good bottles, rejects and labels used at the end, and sign it off.

What is on the sheet

One page, top to bottom:

Printed under the title: One packaging run from bulk to case: which batch went into which bottles, with which labels and code, how many came off good, and whether the count adds up. What the label carries is yours, from your own labelling and the rules where you trade.

Write-on lines: Product · Batch / gyle no. · Run date · Line or area · Run by · Batch code printed on this run · Label version · Best-before or date code used · Bulk from (tank / vessel)

Packaging used — supplier lot numbers so the packaging is traceable too

Table, 3 rows: Item · Supplier / lot no. · At start · Used · Rejected · Back to store

Through the run — checks at whatever interval you set, and the reconciliation at the end

Table, 6 rows: Time · Filled so far · Fill level · Closure · Label right · Code legible · Rejects · Initials · Notes

Write-on lines: Reconciled: bulk at start · Packed · Good bottles · Rejected · Labels used · Signed off by

Questions

Why does it not say what has to be on the label?

Because that is set by the rules where you trade and the product you make, and they differ. The sheet records which label version and which date code you used so that, if a question comes up later, you can say exactly what was on the bottle.

What is the reconciliation for?

If the labels used do not match the good bottles plus rejects, some labels went somewhere — possibly onto the wrong product. It is the quickest check that the run was clean.
