What this sheet is for

See the gaps in the rota while there is still time to fill them, rather than at nine o'clock on a Sunday morning.

Who it is for

Churches, chapels, meeting houses and any group that runs regular gatherings on a rota of volunteers.

How to use it

  1. Write in every date and service time for the period first, gaps and all.
  2. Pencil in names, then tick the confirmed column once each person has said yes.
  3. Cross through any column your gathering does not use.
  4. Put a copy where volunteers can see it and give one to each person on it.
  5. Keep the old sheets — they show who has been asked most often.

What is on the sheet

One page, top to bottom:

Printed under the title: The coming weeks on one page — every service or gathering with the people named against each job, and a column to tick once each one has said yes.

Cross out what you do not use. Fill the names in pencil and confirm them in ink. Who may take which duty, and how far ahead you plan, is your own group's decision — the columns here are the jobs most rotas need, and any you do not use can be crossed through.

Questions

Why is there a separate confirmed column?

Because a name written in a planning meeting is not the same as a person who has agreed. The tick is the difference between a rota and a wish list.

Can this be used for something other than a service?

Yes. The columns suit any regular gathering with jobs attached — a community lunch, a youth night, a coffee morning. Rename the columns that do not fit.
