What this sheet is for

Show when each vehicle and item was checked for recalls, and how every open one was put right. The checks that found nothing are on it too.

Who it is for

Fleet managers, transport managers and small operators running several vehicles and fitted equipment.

How to use it

  1. Write the recall checkers you use at the top, so the next person checks the same way.
  2. Log every check on page one, one line per vehicle or item, even when nothing is open.
  3. For each recall found, fill a line on page two: the notice, the decision on use, where it was booked and when it was fixed.
  4. File the job card or invoice for each fix with the vehicle's maintenance file and note it in the evidence column.

What is on the sheet

2 pages, in this order:

Page 1

Printed under the title: Every recall check on every vehicle and item of equipment, including the checks that found nothing, then on page two each recall found, whether the vehicle was kept off the road and the evidence that it was put right.

Check, record, and keep the proof. Check vehicles by registration where a recall checker allows it, and other items such as child seats, tyres or fitted equipment by make, model and year. Which recalls stop a vehicle being used is set by the notice itself and by your own policy; write the decision down.

Questions

Should a vehicle with an open recall be taken off the road?

It depends on the recall notice, the risk it describes and your own policy, so the sheet does not decide for you. It gives a column to record the decision made, which is the part an auditor will ask about.

Why log checks that found no recall?

Because they show the fleet was checked, and when. A register of only the recalls found cannot show that the rest of the fleet was looked at.
