A free printable kitchen equipment fault sheet — date, item, fault found, whether it came out of use, who it was reported to and when it went back into service.

First page of the Kitchen Equipment Fault Log — Give every fault on a fridge, fryer, oven or glass washer one line, so nothing is reported twice or forgotten once, and the manager can see what is still open.

What this sheet is for

Give every fault on a fridge, fryer, oven or glass washer one line, so nothing is reported twice or forgotten once, and the manager can see what is still open.

Who it is for

Head chefs, kitchen managers and bar managers in a restaurant, café, pub or hotel kitchen, and anyone who has to chase an engineer the next morning.

How to use it

  1. Write the fault the moment it is found, with the item and where it stands.
  2. Mark whether the item came out of use, and tell the kitchen if it did.
  3. Record who it was reported to — the engineer, the manager or the landlord.
  4. Date the line closed when the item is back in use and initial it.
  5. Keep the month's sheet with the service records for the equipment.

What is on the sheet

One page, top to bottom:

Printed under the title: One line per fault on a piece of kitchen or bar equipment — what went wrong, whether it came out of use, who it was reported to and when it was signed back into service.

Your engineer decides, this records. Who repairs the item and what checks it needs before it goes back into use are set by your manufacturer, your service contractor and your own food safety system. This sheet records that the fault was seen, reported and closed — it does not decide whether a fridge or a fryer is safe to use.

Write-on lines: Kitchen / site · Month · Head chef / manager

Table, 13 rows: Date · Item & location · Fault found · Out of use? · Reported to · Back in use · Signed

Questions

Does this sheet say whether a fridge can stay in use?

No. Whether a piece of equipment is safe to run with a fault is a decision for your own food safety system, your engineer and your manufacturer. The sheet records what was found, who decided and when it was signed back in.

Why one line per fault rather than one page per item?

Because faults arrive in service, not by appliance. A single running log is what gets filled in at eleven at night; a page per item gets filed and forgotten. Sort the lines by item later if you need a history for one machine.
