What this sheet is for

Put the whole shoot day on one page everyone is holding. Nobody arrives at the wrong place, and nobody waits for a number nobody has.

Who it is for

Small crews, freelance videographers, student and corporate productions, and anyone running a shoot without a production office behind them.

How to use it

  1. Fill in the location, access and parking before you send it out — that is what people read first.
  2. List every person with a call time and a number that will actually be answered.
  3. Put the scenes in the order you mean to shoot them, with who is needed for each.
  4. Write the contingency down at the bottom, and hand a copy to everyone on the day.

What is on the sheet

One page, top to bottom:

Printed under the title: One page for a shoot day: who is going where and when, how to reach them, what is being shot, and the plan if it rains.

Write-on lines: Production · Shoot date · Day of shoot · Unit call · Location and address · Parking / access · On-site contact · Nearest hospital · Weather / light notes · Wrap target

Crew and cast — call time, role, and a number that will be answered

Table, 5 rows: Name · Role · Call time · Wrap · Phone · Notes

Scenes and set-ups

Table, 4 rows: Scene / shot · Description · Location · Cast needed · Planned time

Ruled lines: Kit and contingency — what is being brought, by whom, and the plan if the weather or the location falls through

Questions

Why is there no schedule down to the minute?

Because a printed timetable stops being true by mid-morning. The sheet gives each scene a planned time you write in yourself, and leaves the detail to the person running the day rather than pretending the paper knows.
