Keep every fridge and freezer clean and checked to its own manual. A dated record of coil cleans and seal checks also backs up a warranty claim if a unit fails.
Kitchen managers, chefs and maintenance staff in restaurants, cafes, schools, care homes and shops with reach-in, under-counter, walk-in or display refrigeration.
2 pages, in this order:
Printed under the title: Every fridge, freezer and cold room listed once with the figures from its manual, then each planned clean and check: condenser coil, fan, door seals, hinges, drain and ice. Engineer visits go on the back.
The manual sets the interval. No intervals, temperatures or settings are printed. How often each unit's condenser coil is cleaned and its seals checked comes from the maker's manual or your refrigeration engineer: copy them into the register. Some makers treat coil cleaning as the owner's job and leave it out of the warranty, so keep the dates.

Because it depends on the unit, where it stands and how dusty or greasy the kitchen is, and makers set their own. A unit next to a fryer may need it far more often than one in a clean store room. Copy the figure from each unit's manual or your engineer into the register.
The temperature log records what each unit reads, twice a day. This sheet records the upkeep that keeps it reading right: coils, fans, seals, hinges, drains and ice, plus the engineer's visits.

Give every fault on a fridge, fryer, oven or glass washer one line, so nothing is reported twice or forgotten once, and the manager can see what is still open.
Make a clear decision for every item in a failed fridge or freezer and put it on record. The values column helps if you claim on insurance.
Show that a chilled or frozen store was read, judged against a stated range and acted on, without the sheet itself pretending to know what that range is.
Set out who cleans what and how often, with initials against each day so the rota is a record rather than an intention.
