What this sheet is for

Collect business costs as they happen so the year end is a total and a folder rather than a shoebox and a lost afternoon.

Sole traders, freelancers, contractors and anyone who hands figures to an accountant once a year.

How to use it

  1. Record costs as they happen. Reconstructing a year later never works.
  2. Use the category headings your accountant actually uses.
  3. Tick the receipt column and file the receipt the same day.
  4. Record a business use percentage where something is used privately too.

What is on the sheet

The layout is fixed at a size that fits both A4 and US Letter, so the A4 and Letter files are visually identical and print at full size on either. Rows are set at a height that an adult can actually write a date and a few words into with a pen — most printable tables are built in a word processor and never tested with one.

Which of these can I claim?

Not a question this sheet answers. What is allowable differs by country, by trade and by circumstance, and it changes. There are no categories of ours printed here and no suggestion that anything is deductible — ask your accountant or tax authority, and use their headings.

What is the business use column for?

Costs that are partly private — a phone, a vehicle, a room. Recording your own split at the time is far easier than justifying one afterwards.
