Self-Catering Changeover Inventory

A self catering changeover inventory — kitchen kit, linen and everything else counted against what the property should hold, with what was short or broken.

What this sheet is for

Find the missing pan, the short set of towels or the dead remote at the changeover, when there is still time to replace it, rather than from the next guest's review.

Who it is for

Owners and changeover cleaners of holiday cottages, flats, lodges and serviced apartments — anywhere guests cook and the kit has to be complete for the next arrival.

How to use it

  1. Fill in the 'should be' column once from your own inventory for the property, then photocopy the sheet.
  2. At each changeover, count what is actually there and write it in.
  3. Note anything short, broken, stained or faulty, and whether it was replaced from stock on the day.
  4. Pass the sheet to whoever restocks, and keep it with the property's file.

What is on the sheet

2 pages, in this order:

Page 1

Printed under the title: The count of what a self-catering property holds — crockery, linen, kit — taken at each changeover against the number the property is supposed to have, so a missing pan or a short set of towels is found before the next guest does.

Your count, your numbers. The 'should be' column is yours to fill in once, from your own inventory for the property. There is no standard count printed here because every cottage, flat and lodge is stocked differently. Count what is there, write the difference, and deal with it before the next arrival.

Questions

Why does the sheet not list what a property should have?

Because a one-bedroom flat and a lodge sleeping ten are stocked completely differently, and your own inventory is the only one that matters. The item rows are blank so you write in what you actually provide; the 'should be' column carries your number, not ours.

How is this different from the changeover checklist?

The changeover checklist is the jobs — beds, bathroom, bins, keys. This is the count. A property can be spotless and still be missing four forks, and only a count finds that.
