What this sheet is for

Know at any point in the day who is in, who is still expected and which rooms are back with housekeeping, without opening a booking system.

Who it is for

Reception staff, night porters and owners of small hotels and guest houses who run the desk on paper or want a paper backup.

How to use it

  1. Write up the expected arrivals from the diary before the shift starts.
  2. Fill in the time, registration and key as each guest arrives; add walk-ins below.
  3. Record each departure as it happens — key back, bill settled, room checked.
  4. Release a room to housekeeping only after it has been checked, and write the time.
  5. Hand the sheet over at the end of the shift with the arrivals still outstanding marked.

What is on the sheet

Questions

Why separate tables for arrivals and departures?

Because they are two different jobs at two different times of day, and the columns are not the same. An arrival needs registration and a key; a departure needs the key back, the bill and a room check.

Where do guest details for the register go?

On your guest register, which is a separate record with its own rules where you are. This log only tracks the movement through the day.
