What this sheet is for

See which nights and which rates worked without waiting for a monthly report. The figures sit side by side where you can read them.

Who it is for

Owners and managers of small hotels, guest houses and bed and breakfasts who keep their own numbers.

How to use it

  1. Write in the number of rooms available once at the top; print two pages a month.
  2. At the end of each night record rooms let, off sale, guests and room revenue.
  3. Divide rooms let by rooms available for occupancy, and revenue by rooms let for the average rate.
  4. Note walk-ins, no-shows and anything that explains a good or bad night.
  5. Total the page at the bottom and mark the best and worst nights.

What is on the sheet

One page, top to bottom:

Printed under the title: Half a month of nights on one page — rooms let, guests, room revenue and the two figures a small hotel actually watches, occupancy and average rate, worked out by hand each night. Neither is a target: the sheet shows what happened, against your own expectations.

Questions

Why is there no target occupancy on the sheet?

Because a target is yours, and it changes with the season and the house. The sheet shows what happened each night so you can compare it against your own expectations, not against a figure somebody else printed.

Why half a month per page?

Because a row you can actually write in takes more room than thirty-one of them will allow on one sheet. Two pages side by side make the month, and the totals at the foot of each page add up to it.
