What this sheet is for

One page that shows the house was counted, the money balanced and the building walked. The morning shift gets what it needs on the same sheet.

Who it is for

Night porters, night managers and owners of small hotels who do the night close themselves.

How to use it

  1. Fill in the house count from your own system once the last arrival is in.
  2. Copy the cash and card figures across and work out the difference.
  3. Tick each round as it is walked, with the time.
  4. Log every call, incident and fault overnight with the action taken.
  5. List what is still open and have the morning shift sign for the handover.

What is on the sheet

One page, top to bottom:

Printed under the title: The night on one page — the house count at close, the money balanced, the rounds walked, what happened, and what the morning shift signs for. The figures come from your own system; writing them side by side here is what makes a gap show.

Write-on lines: Property · Night of · Night staff · Started · Finished

House count at close

Write-on lines: Rooms occupied · Guests in house · Arrivals not shown · Late arrivals taken · Early departures · Rooms out of order

Money — your own system's figures, copied here

Write-on lines: Cash in float at start · Cash taken tonight · Cash at close · Difference · Card takings · Banked / dropped by · Day's ledger posted · Room charges posted · System date rolled · Reports printed · Back-up taken

Rounds and building — tick each round; note the time

  • Doors and windows on ground floor secured

Table, 3 rows: Time · Room · What happened · Action taken · Resolved

Write-on lines: Still open for the morning · Wake-up calls due · Handed to · Received at

Questions

Why does the money section not add up by itself?

Because the figures come from your own system and your own float, and the point of writing them side by side is to see whether they agree. A difference you have to work out by hand is one you notice.

Does this replace the system's night audit?

No. Your property management system does its own roll-over and reports; this is the paper alongside it — the rounds, the incidents and the handover, which the system does not keep.
