What this sheet is for

Stop a request dying between the desk and the person who does it, and make sure the guest hears that it has been done.

Who it is for

Reception and duty staff in hotels, guest houses and serviced apartments, and owners who take the calls themselves.

How to use it

  1. Log each request, fault or complaint in the guest's words with the time and room.
  2. Mark the type and write who it was passed to.
  3. Fill in the time it was done and by whom when the job comes back.
  4. Tick or time the last column once the guest has been told.
  5. Copy anything still open to the handover sheet at the end of the shift.

What is on the sheet

One page, top to bottom:

Printed under the title: The shift's requests, faults and complaints in the order they came in — extra pillows, a dripping tap, noise next door — with who it was passed to, when it was done and whether the guest was told.

Closed means the guest was told. A request is not closed when the job is done; it is closed when the guest knows it is done. The last column is the one that matters. Anything still open at the end of the shift is written on the handover, not left here to be found tomorrow.

Questions

Why is there a column for telling the guest?

Because a fixed tap the guest does not know about is still a complaint in their mind. The job is only closed when the guest has heard it is done, and that is the column that gets missed.

Where do faults go after this?

Anything that needs a proper repair goes on to your maintenance request log. This sheet records that it was raised, passed on and the guest looked after in the meantime.
