The fillable versions have real form fields — open them in any PDF reader, type into them and save. Printing help.

The same sheet, on screen. Totals and figures are worked out as you type, rows can be added or removed, and you can print it or download the completed version as a PDF. Everything stays in your browser — your entries are kept in this browser's own storage on this device, nothing is uploaded, and there is no account.

Who this is for

How many of your quotes turn into work. Log each quote as it goes out and tick won or lost when the customer decides, and the sheet works out your win rate, the value converted and how long customers take to make up their minds.

Freelancers, trades and small service businesses who quote for most jobs and want to know whether their prices, follow-up or choice of enquiries is costing them work.

What this helps you track

  • Every quote sent, to whom and for how much
  • Which quotes were won, lost or are still waiting
  • How many days each customer took to decide
  • The win rate and the value of work converted

How to use it

  1. Write the business and the period in the header.
  2. Add a line for every quote on the day it is sent, with the customer, a short job description and the value quoted.
  3. When the customer decides, tick won or lost and write the decision date; leave both boxes empty while it is pending.
  4. Days to decide, value won and the summary figures are worked out in the browser and the workbook.
  5. Start a fresh sheet each month and compare win rates to see whether a change in pricing or follow-up made a difference.

Formats

  • Printable PDF (A4 and US Letter)
  • Fillable PDF with form fields
  • Fill in online, saved in your browser
  • Excel / Google Sheets workbook

The printable is laid out inside a box that fits both A4 and US Letter, so the two files are identical and neither one is scaled. The fillable PDF has real form fields. The workbook uses plain formulas only — SUM, IF, COUNTIF and the like — so it opens in Excel, LibreOffice and Google Sheets without anything breaking, and every calculated cell is grey so you can see which figures it worked out.

How to print

Download the A4 or US Letter file to match the paper in your printer, open it in a PDF reader and print at 100% — not "fit to page", which shrinks the writing space. Both files leave a 14 mm margin, which clears the unprintable edge on home printers. To print the online version with your entries in it, use the Print this sheet button, which prints only the sheet and none of the page around it. More on printing.

Questions

How is the win rate worked out?

Quotes won divided by quotes decided, won plus lost, shown as a percentage. Pending quotes are left out so the rate is not dragged down by customers who have not answered yet.

What counts as lost?

A clear no, or a quote you have given up on after following up. Deciding when a quiet customer counts as lost is your call; write the date you decided so the days figure means something.

Should I log small quotes too?

Log every quote you would be disappointed to lose. Leaving out small ones makes the average quote value look larger than it is and hides where most of the effort goes.

How is this different from a quote follow-up tracker?

A follow-up tracker is about chasing each quote. This sheet is about the pattern across all of them: the share you win and the value that turns into work.
