One page. The A4 and US Letter files are laid out identically, so neither is shrunk to fit.

Spreadsheet formulas included

The fillable versions have real form fields — open them in any PDF reader, type into them and save. Printing help.

Fill it in online

The same sheet, on screen. Totals and figures are worked out as you type, rows can be added or removed, and you can print it or download the completed version as a PDF. Everything stays in your browser — your entries are kept in this browser's own storage on this device, nothing is uploaded, and there is no account.

Who this is for

A price built from what the job costs you. List the materials, your time at your own rate, packaging, delivery and a share of overheads, then apply your own mark-up to see the selling price, the margin it gives and the price per unit.

Sole traders who make a product or sell a defined service and want to price it the same way every time, rather than guessing or copying a competitor.

What this helps you track

  • Every cost that goes into one item or one job
  • Your time, costed at the hourly rate you set
  • The selling price after your own mark-up
  • The margin that price gives and the price per unit

How to use it

  1. Write the item or service, the unit you sell it by, the date you priced it, how many units the costs below produce and your mark-up percentage.
  2. Fill in each cost line with a quantity and a unit cost; for labour, enter the hours as the quantity and your own hourly rate as the unit cost.
  3. Add a share of overheads as its own line, using whatever method you use for all your prices.
  4. The line costs and the summary are worked out in the browser and the workbook; on paper, multiply across and add down.
  5. Re-price whenever a material cost changes and keep the old sheet, so you can see how the price has moved.

Formats

  • Printable PDF (A4 and US Letter)
  • Fillable PDF with form fields
  • Fill in online, saved in your browser
  • Excel / Google Sheets workbook

The printable is laid out inside a box that fits both A4 and US Letter, so the two files are identical and neither one is scaled. The fillable PDF has real form fields. The workbook uses plain formulas only — SUM, IF, COUNTIF and the like — so it opens in Excel, LibreOffice and Google Sheets without anything breaking, and every calculated cell is grey so you can see which figures it worked out.

How to print

Download the A4 or US Letter file to match the paper in your printer, open it in a PDF reader and print at 100% — not "fit to page", which shrinks the writing space. Both files leave a 14 mm margin, which clears the unprintable edge on home printers. To print the online version with your entries in it, use the Print this sheet button, which prints only the sheet and none of the page around it. More on printing.

Questions

What is the difference between mark-up and margin?

Mark-up is added on top of cost, as a percentage of cost. Margin is the profit as a percentage of the selling price. The same pound of profit is a bigger mark-up than margin, so the sheet shows both.

What hourly rate should I use for labour?

The one you worked out for yourself. The hourly and day rate calculator builds it from your income target and costs; this sheet does not supply one.

How do I work out an overhead share?

One common way is to divide a year's overheads by the number of items or jobs you expect to sell. Whatever method you choose, use it for every price so they stay consistent.

Can I price a batch?

Yes. Enter the costs for the whole batch and the number of units it makes; the price per unit divides the selling price by that number.
