Spreadsheet formulas included

The fillable versions have real form fields — open them in any PDF reader, type into them and save. Printing help.

The same sheet, on screen. Totals and figures are worked out as you type, rows can be added or removed, and you can print it or download the completed version as a PDF. Everything stays in your browser — your entries are kept in this browser's own storage on this device, nothing is uploaded, and there is no account.

Who this is for

Twelve months against your main clients. Each month's sales go under the client they came from, showing quiet months and reliance on one customer.

Freelancers and sole traders with a handful of regular clients who want to see seasonality and dependence on any one client before it becomes a problem.

What this helps you track

  • What each of your main clients brought in, month by month
  • Everything else grouped as other clients
  • Monthly totals, to show the busy and quiet parts of the year
  • Each client's total for the year, from the totals row
  • How much of the year's sales came from your largest client

How to use it

  1. Write the business, the year and your currency at the top.
  2. Name up to six main clients in the client key, one for each lettered column.
  3. If your year does not start in January, rewrite the month names down the left in the order your year runs.
  4. Each month, enter the sales for each client from your invoices or sales day book, and put everyone else in the other column.
  5. The month totals, the totals row and the summary are worked out in the browser and the workbook; on paper, add across and down.
  6. Look at the summary each quarter: a rising top-client share or a run of quiet months is worth planning for.

Formats

  • Printable PDF (A4 and US Letter)
  • Fillable PDF with form fields
  • Fill in online, saved in your browser
  • Excel / Google Sheets workbook

The printable is laid out inside a box that fits both A4 and US Letter, so the two files are identical and neither one is scaled. The fillable PDF has real form fields. The workbook uses plain formulas only — SUM, IF, COUNTIF and the like — so it opens in Excel, LibreOffice and Google Sheets without anything breaking, and every calculated cell is grey so you can see which figures it worked out.

How to print

Download the A4 or US Letter file to match the paper in your printer, open it in a PDF reader and print at 100% — not "fit to page", which shrinks the writing space. Both files leave a 14 mm margin, which clears the unprintable edge on home printers. To print the online version with your entries in it, use the Print this sheet button, which prints only the sheet and none of the page around it. More on printing.

Questions

Do I enter invoiced sales or money received?

Either, as long as you stick to one for the whole year. Invoiced sales show when the work was done; money received matches your bank. Write which you used in the notes.

What if I have more than six clients?

Give your six largest their own columns and put the rest in the other column. If the other column grows large, it is a sign to add a second sheet for the smaller clients.

How is the top client share worked out?

The largest of the six client year totals divided by the whole year's sales. It does not suggest what share is too high; that depends on your work and how you feel about the risk.

What counts as an active client?

Any of the six lettered clients with sales entered at some point in the year. Clients in the other column are not counted separately.
