Spreadsheet formulas included

The fillable versions have real form fields — open them in any PDF reader, type into them and save. Printing help.

The same sheet, on screen. Totals and figures are worked out as you type, rows can be added or removed, and you can print it or download the completed version as a PDF. Everything stays in your browser — your entries are kept in this browser's own storage on this device, nothing is uploaded, and there is no account.

Who this is for

One page to take to the accountant or to sit beside the return. Income is listed by source with anything already deducted at source shown separately; expenses are listed by category. The sheet totals both and shows the difference. It contains no rate, allowance or threshold — those come from your own tax authority.

People who file their own return, anyone with income from more than one source, and households gathering a year's figures before handing them to somebody who will do the filing.

What this helps you track

  • Every source of income for the tax year, with the gross figure
  • What was already deducted at source, and the net that reached you
  • Expenses grouped by category, with a reference to the receipt or record
  • The totals for income, deductions and expenses
  • Income less expenses, as one figure to carry forward

How to use it

  1. Write the tax year as your own tax authority defines it, the name the figures belong to and the date you prepared them.
  2. List each source of income with the gross amount and anything deducted before it reached you; the net column is worked out.
  3. List the expenses by category, with a short description and the reference of the receipt, invoice or log they come from.
  4. Only include expenses your own tax authority accepts — the sheet has no view on what is allowable and cannot have one.
  5. Read the totals at the foot and in the summary; on paper, add each column down and subtract.
  6. Keep the underlying receipts and statements with the sheet — the summary is a cover page, not a substitute for them.

Formats

  • Printable PDF (A4 and US Letter)
  • Fillable PDF with form fields
  • Fill in online, saved in your browser
  • Excel / Google Sheets workbook

The printable is laid out inside a box that fits both A4 and US Letter, so the two files are identical and neither one is scaled. The fillable PDF has real form fields. The workbook uses plain formulas only — SUM, IF, COUNTIF and the like — so it opens in Excel, LibreOffice and Google Sheets without anything breaking, and every calculated cell is grey so you can see which figures it worked out.

How to print

Download the A4 or US Letter file to match the paper in your printer, open it in a PDF reader and print at 100% — not "fit to page", which shrinks the writing space. Both files leave a 14 mm margin, which clears the unprintable edge on home printers. To print the online version with your entries in it, use the Print this sheet button, which prints only the sheet and none of the page around it. More on printing.

Questions

Does this tell me what tax I owe?

No. It totals what you earned and what you spent, and nothing further. Rates, allowances, thresholds and what counts as an allowable expense are set by your own tax authority and differ by country and by year.

What are the dates of the tax year?

Whatever they are where you live — they differ between countries. Write the period in the field at the top and use the same period consistently across the sheet.

What goes in the deducted column?

Anything taken off before the money reached you, such as tax withheld by an employer or a platform. Write it as it appears on the statement or payslip; the net column takes it off the gross.

Is this enough for a return?

It is a summary to work from, not a substitute for the records behind it. Keep the receipts, invoices and statements, and check what your tax authority requires you to keep and for how long.

Can a business use it?

For a very simple set of figures, yes. A business with many transactions is better served by a ledger that runs through the year; this sheet is a year-end summary page.
