Order from a count rather than a guess, and check the delivery against the order you actually placed instead of the invoice the supplier sent.
Head chefs, sous chefs and kitchen managers placing daily or weekly orders with a greengrocer, butcher, fishmonger or dry goods supplier.
One page, top to bottom:
Printed under the title: One supplier, one order — the items, the pack size you buy them in, how many you have, how many you want and what actually turned up, so the order and the delivery can be checked against each other on the same page.
Your par, your supplier's pack. Par levels and order quantities are yours, set for the covers you expect and the space you have. Pack sizes and unit prices come from your supplier's own list, so write them in from that and not from memory.
Write-on lines: Supplier · Order date · Deliver on · Ordered by · Account / customer no. · Phone / email / portal · Order ref given
Table, 10 rows: Item · Pack / unit · Par · In stock · Order qty · Received · Short / sub? · Checked
Write-on lines: Delivery checked by · Date & time received · Invoice / delivery note no.
Because both are yours. Your par depends on the covers you expect and the space you have; the pack size is whatever your supplier sells in. Write them from your supplier's list and your own count, not from a template.

Record what was checked at the door while the driver is still there, so a short delivery or a warm box is a dated line rather than an argument a week later.
Count stock area by area and see the variance beside the count, so a stock take produces a number you can act on rather than a vague reassurance.
Give the stocktaker a line for every loss, so a gap between stock and sales can be explained rather than argued about.
