What this sheet is for

Know what is actually on the shelf before placing an order, instead of reordering from memory or running out mid-morning.

Who it is for

Cafe owners, baristas and anyone running a coffee counter who orders their own stock.

How to use it

  1. Walk the cafe in the same order each time — coffee and milk, then syrups and packaging, then food, then retail.
  2. Write the unit you actually buy in, so the count means the same thing next time.
  3. Count opening stock, add what was delivered, then count what is left — the gap is what was used.
  4. Mark anything that needs reordering before you put the sheet down.

What is on the sheet

One page, top to bottom:

Printed under the title: A stock count across everything a cafe actually holds — beans, milk, syrups, cups and packaging, food and retail — for a regular count rather than guessing what to order.

Count what you actually stock. Count in whatever unit you actually buy in — bags, cases, litres, sleeves of cups — and write it in the unit column so the figures mean the same thing next time. The categories below are a starting list; cross out what you do not stock and add your own, especially under retail.

Questions

Why is there no suggested reorder level printed on the sheet?

Because how much stock you want to carry depends on your footfall, your storage and your delivery days, and a printed figure would be guessing on your behalf. Write your own par level in once you know it.
