Hotel Reception Checklist

A free printable hotel reception checklist — the desk's own start-of-shift and end-of-shift routine for float, systems, arrivals, keys and the safe.

What this sheet is for

Give the desk a routine that gets ticked off every shift, rather than relying on whoever is on to remember all of it from habit.

Who it is for

Hotel, guest house and B&B receptionists and duty managers.

How to use it

  1. Work through the start-of-shift group before taking any guest calls, if you can.
  2. Tick each job as it is done rather than at the end of the shift, so nothing gets ticked from memory.
  3. Flag anything unusual — an overbooking, a VIP, a lost key — in the notes rather than leaving it only in your head.
  4. Complete the end-of-shift group before the next receptionist takes over.

What is on the sheet

One page, top to bottom:

Printed under the title: The reception desk's own start-of-shift and end-of-shift round — float, systems, arrivals and the keys and safe — ticked off at the desk, as distinct from the handover sheet that carries the actual messages and figures to the next shift.

Pairs with the shift handover sheet. This pairs with the Hotel Staff Shift Handover Sheet: tick the routine off here at the desk, and write the specific notes, figures and guest requests for the next shift on that sheet.

Write-on lines: Hotel · Date · Shift · Receptionist

Start of shift

  • Float counted and agreed with the previous shift
  • Booking system logged in and overnight activity reviewed
  • Overnight emails and voicemails checked
  • Today's arrivals and departures list printed or reviewed
  • Any overbooking, VIP or special request flagged
  • Key cabinet and master keys checked against the log
  • Safe checked
  • Lost property log reviewed

End of shift

  • Float recounted and reconciled
  • End-of-shift report run from the booking system
  • Outstanding guest requests passed on, not left unsaid
  • Keys and safe checked again
  • Handover sheet completed and signed
  • Desk and back office left tidy for the next shift

Ruled lines: Notes — anything to flag before the next shift starts

Questions

How is this different from the shift handover sheet?

The handover sheet carries the actual messages and figures forward to the next shift — what happened, what is still outstanding. This checklist is the desk's own routine, ticked off at the start and end of a shift. Use this one at the desk, then write up the handover sheet from it.
