What this sheet is for

Run a silent auction where the bidding is legible and the close is unambiguous, which is where almost all the arguments come from.

Who it is for

Schools, charities, sports clubs, churches and anyone running a fundraiser.

How to use it

  1. One sheet per lot. Write the lot number large.
  2. Fill in the minimum bid and the increment before the room opens.
  3. State the closing time on the sheet, not just on a poster.
  4. Bidders write their own name, contact and bid, in order.
  5. Circle the winning bid, have a steward initial it, and record payment and collection.

What is on the sheet

The layout is fixed at a size that fits both A4 and US Letter, so the A4 and Letter files are visually identical and print at full size on either. Rows are set at a height that an adult can actually write a date and a few words into with a pen — most printable tables are built in a word processor and never tested with one.

Questions

Should I print the item's value?

There is a line for it if you want one, but be careful what you claim. A stated value is a representation to bidders, and in some places it affects what a donor may claim. Use the donor's own figure, or leave it blank.

What stops somebody bidding after the close?

A steward and a clearly printed closing time. The sheet gives you both; the rest is stewarding.
