The same sheet, on screen. Totals and figures are worked out as you type, rows can be added or removed, and you can print it or download the completed version as a PDF. Who this is for

A register of every chemical product held, and whether its safety data sheet is on file. You copy the hazard wording from the label; the sheet counts the containers, values the store and tells you which lines have no data sheet.

Whoever looks after a chemical store — cleaning supervisors, workshop and laboratory managers, groundstaff, salon and pool operators — and needs one list of what is held and where the paperwork for it is.

What this helps you track

  • Every chemical product held, with the supplier and the container size
  • The hazard wording as it appears on your own label and data sheet
  • Where each product is stored, and how many containers are there
  • Which products have a current safety data sheet on file and which do not
  • The value of the chemicals held at the cost per container you enter

How to use it

  1. Fill the header with the organisation, the site, the store or area being registered, who compiled it and the date.
  2. List one line per product. Write the product name exactly as it appears on the container, and add the supplier or manufacturer so a replacement data sheet can be requested.
  3. Copy the hazard wording from the label and the safety data sheet into the hazards column, in the supplier's words. This sheet supplies none of its own — classification and handling advice come from the people who made the product.
  4. Record the store or cupboard, the container size and how many containers are held, then the cost per container from your invoice.
  5. Tick the data sheet column only where the current sheet is actually on file and findable. The summary counts the ticks, so the gap is visible.
  6. Request the missing data sheets from the supplier, and check what the rules where you are require of a chemical register before you rely on this one.

Formats

  • Printable PDF (A4 and US Letter)
  • Fillable PDF with form fields
  • Fill in online, saved in your browser
  • Excel / Google Sheets workbook

The printable is laid out inside a box that fits both A4 and US Letter, so the two files are identical and neither one is scaled. The fillable PDF has real form fields. The workbook uses plain formulas only — SUM, IF, COUNTIF and the like — so it opens in Excel, LibreOffice and Google Sheets without anything breaking, and every calculated cell is grey so you can see which figures it worked out.

How to print

Download the A4 or US Letter file to match the paper in your printer, open it in a PDF reader and print at 100% — not "fit to page", which shrinks the writing space. Both files leave a 14 mm margin, which clears the unprintable edge on home printers. To print the online version with your entries in it, use the Print this sheet button, which prints only the sheet and none of the page around it. More on printing.

Questions

Does this tell me how to store or handle anything?

No, and deliberately so. Handling, storage and personal protection come from the supplier's safety data sheet and from your own assessment. This is a register of what is held and whether that paperwork exists.

What do I write in the hazards column?

The wording from the label or data sheet for that product — the signal word, the hazard statements or whatever your supplier prints. Copying it means the register and the container agree.

Does keeping this register make us compliant?

That is not something a template can decide. Requirements differ from country to country and by what you hold, so check the rules where you are; a register is usually a starting point rather than the whole job.

Should part-used containers be counted?

Count them as containers and note the approximate contents in the notes area. The value column is meant for what replacement stock would cost, so most people price a part-used container as a whole one and say so at the foot.
