Who this is for

A dated line for every time you do something to the pond. Netting, pump and filter cleaning, topping up, clearing silt, checking the ice — each with the water level, whether the pump was running, how long it took and whatever your own test kit said.

Anyone with a garden pond, wildlife pool or small water feature, people who look after a pond they did not build and are learning what it needs, and households sharing the job between them.

What this helps you track

  • What was done to the pond and when, in one running list
  • Whether the pump and filter were checked and found working
  • The water level at the time, which explains most of what follows
  • Any reading your own test kit gave, written as the kit reports it
  • How long each visit took, and who did it

How to use it

  1. Write the pond, roughly how big it is and what lives in it at the top, with the date the log starts.
  2. Add a line each time you do something: the date, the job and what you actually did.
  3. Record the water level as you found it and tick the pump column if it was running properly when you looked.
  4. If you test the water, write the reading exactly as your kit gives it. This sheet carries no target figures — those come with your kit or from whoever advises you.
  5. Put the minutes in so the summary can add them up, and initial the by column where more than one person shares the job.
  6. Keep the sheets across the year; the pattern of topping up and clearing is more useful than any single visit.

Formats

  • Printable PDF (A4 and US Letter)
  • Fillable PDF with form fields
  • Fill in online, saved in your browser

The printable is laid out inside a box that fits both A4 and US Letter, so the two files are identical and neither one is scaled. The fillable PDF has real form fields. The online version keeps what you enter in your own browser and builds the completed PDF on your device.

How to print

Download the A4 or US Letter file to match the paper in your printer, open it in a PDF reader and print at 100% — not "fit to page", which shrinks the writing space. Both files leave a 14 mm margin, which clears the unprintable edge on home printers. To print the online version with your entries in it, use the Print this sheet button, which prints only the sheet and none of the page around it. More on printing.

Questions

Does the sheet say what the water readings should be?

No, and it deliberately does not. Ranges differ by the kit, by what lives in the pond and by whose guidance you follow, so there is a column for the reading and nothing to compare it against except your own kit's instructions.

How often does a pond need attention?

That depends on its size, its planting, whether it has fish and where you live. The log records what you did rather than telling you when to do it; after a season you will have your own answer written down.

What about the pump and filter?

Tick the column when you have checked the pump is running and the filter is clear, and write anything you cleaned or replaced in the detail column. Keep the manufacturer's own instructions with the log.

Can I use it for a water feature with no fish?

Yes. Leave the reading column blank and the sheet becomes a plain maintenance record for a fountain, rill or bog garden.

Is there a version that calculates?

The browser version adds up the minutes and counts the visits for you. There is no spreadsheet for this one because there is very little here to add up.
