Free event setup and pack-down checklist — before doors open, during, pack down, and the returns and follow-up afterwards, ticked off on the day. PDF, browser.
One page. The A4 and US Letter files are laid out identically, so neither is shrunk to fit.

The same sheet, on screen. Tick, type, add or remove rows, then print it or download the completed version as a PDF. Everything stays in your browser — your entries are kept in this browser's own storage on this device, nothing is uploaded, and there is no account.
The day itself, in four tick lists. Before the doors open, during, pack down, and what still has to go back or be sent afterwards.
The person holding the clipboard at a fete, a hall party, a conference, a market or a club night — usually the one who will be blamed for the missing urn.
The printable is laid out inside a box that fits both A4 and US Letter, so the two files are identical and neither one is scaled. The fillable PDF has real form fields. The online version keeps what you enter in your own browser and builds the completed PDF on your device.
Download the A4 or US Letter file to match the paper in your printer, open it in a PDF reader and print at 100% — not "fit to page", which shrinks the writing space. Both files leave a 14 mm margin, which clears the unprintable edge on home printers. To print the online version with your entries in it, use the Print this sheet button, which prints only the sheet and none of the page around it. More on printing.
It is a starting point. Tick what applies, ignore the rest, and write your own items in the margin — or edit the lists in the browser version, where they are saved for next time.
There are lines for checking exits are clear and the first aid kit is there, since both are quick to tick. What is legally required of your event — capacity, alcohol, food, insurance, permits — is set where you are; check it with whoever issues it. This checklist does not say.
No. How long setup takes depends on the room and the helpers; write your own start time against each list if it helps. The wedding day timeline is the timed version for that one event.
On paper, print one per person and split the lists. The browser version saves in one browser, so each person's copy is separate.
What the event is for and who it is for, written where everyone can read it.
What has to be decided and booked early, before the date is fixed in other people's diaries.
What happens when, where and with whom, in one running order.
Where the money is expected to come from, and who is looking after each source.
Printable sheets, workbooks and tools on the same subject.
Get the day out of one person's head and onto a page everybody can read, so the event does not stall when the organiser is dealing with something else.
Turn the first and last twenty minutes of the day into two short lists that get initialled, instead of a routine somebody remembers most of the time.
Know who has what club equipment, so kit that goes missing can be asked after rather than written off.
Every sheet, binder, game and puzzle on Upkeep Papers is free to download, with no email and no account. Making them is not free: each one takes days of research, design and checking, and the site costs money to run. If something here saved you time, you can buy us a coffee. It is entirely optional: nothing is locked, and nothing changes if you don’t.
Opens PayPal in a new tab. Any amount, and nothing changes if you would rather not.
