How to use it
- Fill in the vehicle, the odometer reading and who the estimate is from and for.
- Write the fault or the work requested on the line at the top, in the customer's words.
- List each part with a quantity and a unit price; the line total is worked out for you in the browser and spreadsheet versions.
- List each labour item with the hours and the hourly rate.
- Enter the tax rate that applies where you are. The subtotal, tax and total appear in the summary.
- Give the customer a copy, and keep one: it is the record of what was agreed before the work started.

The printable is laid out inside a box that fits both A4 and US Letter, so the two files are identical and neither one is scaled. The fillable PDF has real form fields. The workbook uses plain formulas only — SUM, IF, COUNTIF and the like — so it opens in Excel, LibreOffice and Google Sheets without anything breaking, and every calculated cell is grey so you can see which figures it worked out.
How to print
Download the A4 or US Letter file to match the paper in your printer, open it in a PDF reader and print at 100% — not "fit to page", which shrinks the writing space. Both files leave a 14 mm margin, which clears the unprintable edge on home printers. To print the online version with your entries in it, use the Print this sheet button, which prints only the sheet and none of the page around it. More on printing.
Questions
Is this an invoice?
No — it is an estimate, written before the work. When the work is done, an invoice shows what was actually charged. The invoice generator on this site does that job.
What tax rate should I put in?
Whichever rate applies to vehicle repairs where you are, if any. The sheet leaves the box blank on purpose, because rates differ by country and change.
Does an estimate bind the garage to the price?
That depends on the wording, the trade practice and the consumer rules where you are. This worksheet records the figures; it does not decide what they mean legally.
Can I use it to check a quote I was given?
Yes. Copy the garage's figures onto the sheet line by line. If the parts, hours and rate do not reach the total you were quoted, you have a question to ask.
Can I add a diagnostic or sundries charge?
Put it on the labour table as a line with one hour at the charged amount, or on the parts table with a quantity of one. Either way it is counted in the total.
