Who this is for

Every study room and desk booking in one place. Each booking has its room, times, purpose and who booked it, and whether it was actually used, so weekly booked hours and missed slots are easy to see.

Students who book library desks or group study rooms, and study groups sharing the job of booking rooms between them.

What this helps you track

  • Which room or desk was booked, when and by whom
  • Hours booked per session and in the week you choose
  • Bookings that were not used
  • What each session was for
  • The booking system and reference, for changes and cancellations

How to use it

  1. Write your name or the group's name, the library and your booking system reference at the top.
  2. Log each booking as soon as it is made: date, room or desk, start and end in 24-hour decimal hours, the purpose and who booked it.
  3. Tick Attended after the session; leave it blank for a booking that was not used.
  4. Set the week starting date to see that week's booked hours in the summary.
  5. Hours per booking and the totals are worked out in the browser and the workbook; on paper, subtract start from end.

Formats

  • Printable PDF (A4 and US Letter)
  • Fillable PDF with form fields
  • Fill in online, saved in your browser
  • Excel / Google Sheets workbook

The printable is laid out inside a box that fits both A4 and US Letter, so the two files are identical and neither one is scaled. The fillable PDF has real form fields. The workbook uses plain formulas only — SUM, IF, COUNTIF and the like — so it opens in Excel, LibreOffice and Google Sheets without anything breaking, and every calculated cell is grey so you can see which figures it worked out.

How to print

Download the A4 or US Letter file to match the paper in your printer, open it in a PDF reader and print at 100% — not "fit to page", which shrinks the writing space. Both files leave a 14 mm margin, which clears the unprintable edge on home printers. To print the online version with your entries in it, use the Print this sheet button, which prints only the sheet and none of the page around it. More on printing.

Questions

Why log bookings I have already made in the system?

Because a booking system shows what is coming, not what happened. The log keeps the history: how many hours you actually used, which slots were wasted and which rooms suit you or your group.

How do I write the times?

In 24-hour decimal hours, so 14.5 is half past two and 9.25 is quarter past nine. The hours column is end minus start.

How does it help a study group?

The booked by column shows who has made bookings, so the job is shared fairly, and missed bookings show which slots the group does not use. Keep one shared copy for the group.

Does it know the library's booking rules?

No. Limits on hours, how far ahead you can book and what happens after a missed booking are set by each library. Check its rules and note them at the foot of the sheet.
