Who this is for

Everything in the kitchen that is not food. Small appliances, pans, bakeware, knives and gadgets, each with where it lives, when it was bought, what it cost, the state it is in and when its warranty ends. The totals give a figure for insurance and a list of what needs replacing.

Households updating their contents insurance, people packing a kitchen for a move, and cooks deciding which worn-out pans to replace first.

What this helps you track

  • Every appliance, pan, knife and gadget, with brand and model
  • Where each item is kept, so it can be found or packed
  • When it was bought and what it cost, for insurance
  • The condition of each item and which ones to replace
  • Warranty end dates, before a fault turns up

How to use it

  1. Write the address, the date and who compiled the list at the top.
  2. Work round the kitchen one cupboard or drawer at a time, giving each item a row with its brand or model and a category.
  3. Enter the purchase date and price from receipts or order history; write an estimate and mark it as one in the brand column if the receipt is gone.
  4. Set the condition honestly and tick Replace for anything you plan to replace.
  5. The totals are worked out in the browser and the workbook; on paper, add the price column at the foot.
  6. Keep a copy away from the house, and update it when something new arrives or something is thrown out.

Formats

  • Printable PDF (A4 and US Letter)
  • Fillable PDF with form fields
  • Fill in online, saved in your browser
  • Excel / Google Sheets workbook

The printable is laid out inside a box that fits both A4 and US Letter, so the two files are identical and neither one is scaled. The fillable PDF has real form fields. The workbook uses plain formulas only — SUM, IF, COUNTIF and the like — so it opens in Excel, LibreOffice and Google Sheets without anything breaking, and every calculated cell is grey so you can see which figures it worked out.

How to print

Download the A4 or US Letter file to match the paper in your printer, open it in a PDF reader and print at 100% — not "fit to page", which shrinks the writing space. Both files leave a 14 mm margin, which clears the unprintable edge on home printers. To print the online version with your entries in it, use the Print this sheet button, which prints only the sheet and none of the page around it. More on printing.

Questions

Is this enough for an insurance claim?

It is a good start, but insurers differ in what they ask for. Keep receipts and photographs alongside it, and check with your own insurer what evidence they want for a claim.

Do I list every wooden spoon?

No. List the things that would cost real money to replace, or that you would struggle to remember. Group small utensils as a single line, such as utensil drawer contents.

What counts as the purchase price?

What you actually paid, including any delivery charge you want to count. For gifts, leave the price blank or write your own estimate and say so in the brand or model column.

How is this different from an appliance register?

An appliance register follows large appliances and their servicing. This list covers the smaller things in a kitchen — pans, knives, gadgets and worktop appliances — for valuing, packing or replacing.
