The same sheet, on screen. Totals and figures are worked out as you type, rows can be added or removed, and you can print it or download the completed version as a PDF. Who this is for

Every carpet, rug and sofa, and every clean it has had. The items table holds the fibre, the care code from the label and any cleaning terms in the guarantee; the log records each clean, who did it, what it cost and whether the receipt was kept.

Householders with fitted carpets, good rugs or upholstered furniture under guarantee, people with pets or children whose soft furnishings get cleaned often, and anyone who wants a cleaning history to hand when making a claim or selling a sofa.

What this helps you track

  • Each carpet, rug and upholstered piece with its fibre or fabric
  • The care code from the label and the maker's cleaning terms
  • Every clean: the method, who did it and the products used
  • What cleaning has cost, with receipts kept for any guarantee claim
  • Days since each item's last professional clean

How to use it

  1. Walk round the home and give each carpet, rug, sofa and upholstered chair a line, with the fibre or fabric and the care code from its label.
  2. Copy any cleaning terms from the guarantee or the fitter's paperwork word for word, and the date of the last professional clean if you know it.
  3. Add a line to the log after every clean, DIY or professional, with the method, the products or company, the cost and a tick once the receipt is filed.
  4. Days since and the totals are worked out in the browser and the workbook; on paper, count on from the date.
  5. Update the last professional clean date in the items table each time a company cleans something.

Formats

  • Printable PDF (A4 and US Letter)
  • Fillable PDF with form fields
  • Fill in online, saved in your browser
  • Excel / Google Sheets workbook

The printable is laid out inside a box that fits both A4 and US Letter, so the two files are identical and neither one is scaled. The fillable PDF has real form fields. The workbook uses plain formulas only — SUM, IF, COUNTIF and the like — so it opens in Excel, LibreOffice and Google Sheets without anything breaking, and every calculated cell is grey so you can see which figures it worked out.

How to print

Download the A4 or US Letter file to match the paper in your printer, open it in a PDF reader and print at 100% — not "fit to page", which shrinks the writing space. Both files leave a 14 mm margin, which clears the unprintable edge on home printers. To print the online version with your entries in it, use the Print this sheet button, which prints only the sheet and none of the page around it. More on printing.

Questions

What is a care code?

Upholstery and rugs often carry a label saying which cleaning methods suit the fabric, sometimes as a letter or a symbol. Copy it exactly as printed; the sheet does not interpret codes, because makers use different systems.

Why keep receipts for cleaning?

Some carpet and upholstery guarantees ask for proof of professional cleaning, or for particular methods to have been used. A dated log with the receipt ticked makes that easy to show; check your own guarantee for what it asks.

How often should carpets be professionally cleaned?

The sheet sets no interval. Use whatever your carpet maker, fitter or guarantee says, write it in the cleaning terms column, and the days since column shows how long it has been.

I run a carpet cleaning business. Is this for me?

This record is for the householder. The carpet and rug cleaning job sheet is built for a cleaning business, with the customer, the rooms, labour and materials for each job.
