What this sheet is for

Close the old accounts and open the new ones with the readings and balances written down on the day, so a change-over dispute has a sheet of paper behind it.

Who it is for

Anyone moving in or out of a property, including landlords and agents handling a changeover between tenancies.

How to use it

  1. Take the final readings yourself on the day and photograph each meter face.
  2. Give the readings to the outgoing supplier the same day, and note when you did.
  3. Record the closing balance and whether it was a refund or an amount owed.
  4. Fill in the opening readings and new account numbers as soon as they arrive.

What is on the sheet

The layout is fixed at a size that fits both A4 and US Letter, so the A4 and Letter files are visually identical and print at full size on either. Rows are set at a height that an adult can actually write a date and a few words into with a pen — most printable tables are built in a word processor and never tested with one.

Questions

What if the supplier estimates the final bill anyway?

It happens, and a dated photograph of the meter with the serial number in shot is the thing that gets it corrected. Record the reading here and keep the photograph with the sheet.

Does this work for a rented property?

Yes. The same readings and balances matter at the end of a tenancy, and having them written down at handover is usually what settles who owes what.
