The same sheet, on screen. Totals and figures are worked out as you type, rows can be added or removed, and you can print it or download the completed version as a PDF. Everything stays in your browser — your entries are kept in this browser's own storage on this device, nothing is uploaded, and there is no account.

Who this is for

A trip that moves, one leg at a time. Each line is a journey between two places, with the transport, the times, the cost and how long you stay at the other end, and the sheet totals the hours, the fares and the nights.

People planning a tour, a rail pass trip or a route through several cities, and anyone juggling trains, buses, ferries and flights in one itinerary.

What this helps you track

  • Every leg of the route in order, from and to
  • The transport, the date and the departure and arrival times
  • How long each leg takes, worked out from the times
  • Which legs are booked and what each one costs
  • The nights at each stop and the total for the trip

How to use it

  1. Write the trip, the start and end dates and who is travelling at the top.
  2. List the legs in order, with the date, the mode of transport and the departure and arrival times in 24-hour decimal form (14:30 is 14.5).
  3. Enter the fare for each leg and the number of nights you will spend at the place you arrive at.
  4. Tick booked as each leg is confirmed and write the booking references in the box at the foot.
  5. The hours and the totals are worked out in the browser and the workbook; on paper, subtract departure from arrival and add down.

Formats

  • Printable PDF (A4 and US Letter)
  • Fillable PDF with form fields
  • Fill in online, saved in your browser
  • Excel / Google Sheets workbook

The printable is laid out inside a box that fits both A4 and US Letter, so the two files are identical and neither one is scaled. The fillable PDF has real form fields. The workbook uses plain formulas only — SUM, IF, COUNTIF and the like — so it opens in Excel, LibreOffice and Google Sheets without anything breaking, and every calculated cell is grey so you can see which figures it worked out.

How to print

Download the A4 or US Letter file to match the paper in your printer, open it in a PDF reader and print at 100% — not "fit to page", which shrinks the writing space. Both files leave a 14 mm margin, which clears the unprintable edge on home printers. To print the online version with your entries in it, use the Print this sheet button, which prints only the sheet and none of the page around it. More on printing.

Questions

Why are the times decimals?

So the sheet can subtract them. Write 14:30 as 14.5 and 09:15 as 9.25. The hours column then shows each leg's length, and an arrival after midnight is treated as the next day.

Does it handle time zone changes?

No, it assumes departure and arrival are in the same time zone. For flights across time zones, the flight connection and layover time calculator takes the UTC offset of each airport into account.

Where do the booking references go?

In the box at the foot of the sheet, one per leg. The table is kept to the figures the sheet adds up, so the columns stay readable on paper.

Does it include accommodation costs?

No, only transport. The nights column counts how long you stay at each stop; the holiday accommodation comparison sheet is for choosing and costing where to stay.
