Who this is for

What each traveller needs, country by country. Every document, visa or travel authorisation gets a line with where the requirement was checked, when it was applied for, its reference, when it was granted and how long it is valid. A carry list underneath covers the papers to have with you on the day.

Families and groups where travellers hold different passports, and anyone on a multi-country trip where each border has its own rules.

What this helps you track

  • Each traveller's requirements for each country on the route
  • Where each requirement was checked, so it can be checked again
  • Application dates, references and fees
  • When each document was granted and until when it is valid
  • The papers to carry on the day

How to use it

  1. Write the trip and the travel dates at the top.
  2. For each traveller and each country, look up the entry requirements on that country's official government source and write what is needed and where you checked.
  3. Enter the application date, the reference and the fee when you apply, and set the status.
  4. When a document is granted, write the date and the date it is valid until, and compare that with your travel dates.
  5. Check the requirements again shortly before travelling, since they can change, then tick off the carry list as you pack.

Formats

  • Printable PDF (A4 and US Letter)
  • Fillable PDF with form fields
  • Fill in online, saved in your browser

The printable is laid out inside a box that fits both A4 and US Letter, so the two files are identical and neither one is scaled. The fillable PDF has real form fields. The online version keeps what you enter in your own browser and builds the completed PDF on your device.

How to print

Download the A4 or US Letter file to match the paper in your printer, open it in a PDF reader and print at 100% — not "fit to page", which shrinks the writing space. Both files leave a 14 mm margin, which clears the unprintable edge on home printers. To print the online version with your entries in it, use the Print this sheet button, which prints only the sheet and none of the page around it. More on printing.

Questions

Does this sheet tell me what visa I need?

No. Requirements depend on the passport you hold, the country, the purpose and length of the visit, and they change. Check the official government source for each country and write down where you looked.

Why record where each requirement was checked?

So you or anyone else can go back to the same source before travelling and see if anything has changed, and so you know the answer came from an official page rather than a forum post.

What counts as an entry requirement here?

Anything a traveller has to hold or arrange to be let in: a visa, an electronic travel authorisation, a passport with enough validity, an onward ticket or other documents the country asks for. Give each its own line.

Is it worth keeping copies of the documents?

Many travellers keep a copy apart from the originals. The travel document and insurance record is built for noting where copies are kept.
