The same sheet, on screen. Totals and figures are worked out as you type, rows can be added or removed, and you can print it or download the completed version as a PDF. Who this is for

A campervan or motorhome tour, costed a night at a time. Each night gets a line for the site or stopover, the pitch fee, hook-up, fuel, gas, ferries and tolls, food and anything else. With any hire charge added, the sheet gives the trip total, the cost per night and the cost per person per night.

Motorhome and campervan owners planning a tour, and people hiring a van who want to compare the real cost of a trip with a hotel-based holiday.

What this helps you track

  • Where you are stopping each night
  • Pitch, hook-up, fuel and gas costs per night
  • Ferries, tolls, food and other spending along the way
  • The total for each night and for the whole tour including hire
  • The cost per night and per person per night

How to use it

  1. Write the vehicle, any hire cost for the trip, the first and last nights, and how many people are travelling.
  2. Give each night a line with the date and the site or stopover, then enter the costs you expect or have paid in each column.
  3. Put fuel against the night after the day's drive, and a ferry or toll against the day it is paid, so each line shows that day's spend.
  4. Nightly totals and the summary are worked out in the browser and the workbook; on paper, add across each line and down each column.
  5. Replace estimates with real figures as the tour goes on, and keep the sheet for planning the next one.

Formats

  • Printable PDF (A4 and US Letter)
  • Fillable PDF with form fields
  • Fill in online, saved in your browser
  • Excel / Google Sheets workbook

The printable is laid out inside a box that fits both A4 and US Letter, so the two files are identical and neither one is scaled. The fillable PDF has real form fields. The workbook uses plain formulas only — SUM, IF, COUNTIF and the like — so it opens in Excel, LibreOffice and Google Sheets without anything breaking, and every calculated cell is grey so you can see which figures it worked out.

How to print

Download the A4 or US Letter file to match the paper in your printer, open it in a PDF reader and print at 100% — not "fit to page", which shrinks the writing space. Both files leave a 14 mm margin, which clears the unprintable edge on home printers. To print the online version with your entries in it, use the Print this sheet button, which prints only the sheet and none of the page around it. More on printing.

Questions

Where does the hire cost go?

In the hire cost field at the top, as the total for the whole trip. The summary adds it to the nightly totals, so the cost per night includes it. Owners leave the field blank or at zero.

What about wild camping or free stopovers?

Give the night its line with a nil pitch fee. It still counts as a night, so the cost per night reflects the whole tour and not only the nights on paid sites.

Does it cover insurance, servicing or depreciation?

No, only the running costs of the trip itself. Owners who want the full cost of the vehicle over a year can use a vehicle running cost calculator alongside this sheet.

How do I cost fuel before I go?

Use the road trip fuel and cost calculator with your own consumption figure and the price you expect, then copy each day's fuel cost into this sheet.
