One page. The A4 and US Letter files are laid out identically, so neither is shrunk to fit.

The fillable versions have real form fields — open them in any PDF reader, type into them and save. Printing help.

The same sheet, on screen. Totals and figures are worked out as you type, rows can be added or removed, and you can print it or download the completed version as a PDF. Everything stays in your browser — your entries are kept in this browser's own storage on this device, nothing is uploaded, and there is no account.

Who this is for

Every payment still going out, on one page. The summary lists the direct debits, standing orders and card payments leaving a deceased person's accounts, turns each into a monthly figure and shows what stopping, keeping and transferring them adds up to.

Executors, administrators and next of kin sorting out a person's finances after a death, and anyone helping them go through bank statements line by line.

What this helps you track

  • Each payee and what the payment was for
  • How much goes out, how often and from which account
  • Whether to stop, keep or transfer each one
  • The date each decision was carried out
  • The monthly cost that remains once the stops take effect

How to use it

  1. Write the name of the person who has died, the accounts covered and the month you are working on.
  2. Go through recent statements and give every regular payment a line: payee, amount, frequency, the day it goes out and the account.
  3. Decide the action for each one — stop, keep or transfer — and write the date once it has been done.
  4. The monthly equivalent and the totals are worked out in the browser and the workbook; on paper, convert each amount to a monthly figure and add down.
  5. Check the summary for what will still leave each month, and carry any undecided lines forward to next month's sheet.

Formats

  • Printable PDF (A4 and US Letter)
  • Fillable PDF with form fields
  • Fill in online, saved in your browser
  • Excel / Google Sheets workbook

The printable is laid out inside a box that fits both A4 and US Letter, so the two files are identical and neither one is scaled. The fillable PDF has real form fields. The workbook uses plain formulas only — SUM, IF, COUNTIF and the like — so it opens in Excel, LibreOffice and Google Sheets without anything breaking, and every calculated cell is grey so you can see which figures it worked out.

How to print

Download the A4 or US Letter file to match the paper in your printer, open it in a PDF reader and print at 100% — not "fit to page", which shrinks the writing space. Both files leave a 14 mm margin, which clears the unprintable edge on home printers. To print the online version with your entries in it, use the Print this sheet button, which prints only the sheet and none of the page around it. More on printing.

Questions

How is the monthly figure worked out?

Weekly amounts are multiplied by 52 and divided by 12, quarterly amounts divided by 3 and yearly amounts divided by 12. Monthly and other amounts are carried across as entered, so enter anything irregular as its monthly figure.

What counts as keep rather than transfer?

Keep is for payments the estate should go on making for now, such as buildings insurance on an empty house. Transfer is for accounts that will move to someone else's name. The choice is yours; the sheet only adds them up.

Can I stop payments straight away?

That depends on the bank, the payee and the rules where you are, and some payments may need to continue. Check with the bank and the organisation before stopping anything you are not sure about.

How is this different from a subscriptions checklist?

A checklist tells you what to cancel. This sheet shows the money: what each payment costs a month and what the estate will still be paying once the decisions are made.
