One page. The A4 and US Letter files are laid out identically, so neither is shrunk to fit.

The fillable versions have real form fields — open them in any PDF reader, type into them and save. Printing help.

The same sheet, on screen. Totals and figures are worked out as you type, rows can be added or removed, and you can print it or download the completed version as a PDF. Everything stays in your browser — your entries are kept in this browser's own storage on this device, nothing is uploaded, and there is no account.

Who this is for

Every recurring payment to stop. Each subscription, membership and service gets a line with how it is paid, what it costs a month, when it was cancelled and the confirmation, with any refund due tracked until it arrives.

Executors and family members closing down the regular payments of someone who has died, and people making a list in advance so their family does not have to hunt.

What this helps you track

  • Every subscription, membership and service still being paid
  • How each one is paid, so the right card or mandate can be stopped
  • The date each was cancelled and the confirmation reference
  • Refunds due and whether they have arrived
  • The monthly cost being stopped across all of them

How to use it

  1. Write the name of the person who has died, the account holder details you will quote and the date you started.
  2. Go through bank and card statements and list every recurring payment, with the provider, reference and payment method.
  3. Enter the monthly cost from the statement; for yearly payments, divide by twelve yourself.
  4. When you cancel, write the date and the confirmation reference, and any refund you are told is due.
  5. Record refunds as they arrive and tick done when nothing more is expected; totals are worked out in the browser and the workbook.
  6. Keep the sheet with the estate papers so the refunds can be matched to the estate account.

Formats

  • Printable PDF (A4 and US Letter)
  • Fillable PDF with form fields
  • Fill in online, saved in your browser
  • Excel / Google Sheets workbook

The printable is laid out inside a box that fits both A4 and US Letter, so the two files are identical and neither one is scaled. The fillable PDF has real form fields. The workbook uses plain formulas only — SUM, IF, COUNTIF and the like — so it opens in Excel, LibreOffice and Google Sheets without anything breaking, and every calculated cell is grey so you can see which figures it worked out.

How to print

Download the A4 or US Letter file to match the paper in your printer, open it in a PDF reader and print at 100% — not "fit to page", which shrinks the writing space. Both files leave a 14 mm margin, which clears the unprintable edge on home printers. To print the online version with your entries in it, use the Print this sheet button, which prints only the sheet and none of the page around it. More on printing.

Questions

How do I find all the subscriptions?

Start with a few months of bank and card statements, then look through the email inbox, app stores and post. Annual payments are easy to miss, so a full year of statements catches more if you have them.

Will providers need proof of the death?

Many ask for a copy of the death record or a reference, and some have a bereavement team or online form. What each asks for varies, so note it in the confirmation column when you ring.

Should I cancel the card or the subscriptions first?

Stopping the card or mandate stops the money but not always the contract. Cancelling each service as well, and noting the confirmation, avoids letters chasing unpaid amounts later.

How is this different from a subscription tracker?

A subscription tracker helps you manage your own services and renewals. This list is for stopping someone else's, with confirmations and refunds recorded for the estate.
