The same sheet, on screen. Totals and figures are worked out as you type, rows can be added or removed, and you can print it or download the completed version as a PDF. Who this is for

Every crossing on the tour in one place. Each leg has its reference, check-in time, booked length and what is still owed, with the declared dimensions at the top.

Caravanners, motorhome owners and campervan travellers crossing to the continent, to islands or across lakes and estuaries, especially on tours with more than one ferry.

What this helps you track

  • The route, operator and booking reference for each crossing
  • The check-in time at each port
  • The outfit length booked against what you actually measure
  • What each crossing cost, what is paid and what is still due
  • The last date to cancel or change each booking

How to use it

  1. Measure the outfit, including bike racks, towbar and roof boxes, and write the length and height at the top with the registration.
  2. Add a line for each crossing as you book it, copying the reference, check-in time and length booked from the confirmation.
  3. Enter the cost and what you have paid; the balance, totals and summary are worked out in the browser and the workbook.
  4. Note the cancellation or amendment deadline from the operator's terms so a change of plan does not cost more than it has to.
  5. Print the sheet for the cab, and work through the checklist the day before each sailing.

Formats

  • Printable PDF (A4 and US Letter)
  • Fillable PDF with form fields
  • Fill in online, saved in your browser
  • Excel / Google Sheets workbook

The printable is laid out inside a box that fits both A4 and US Letter, so the two files are identical and neither one is scaled. The fillable PDF has real form fields. The workbook uses plain formulas only — SUM, IF, COUNTIF and the like — so it opens in Excel, LibreOffice and Google Sheets without anything breaking, and every calculated cell is grey so you can see which figures it worked out.

How to print

Download the A4 or US Letter file to match the paper in your printer, open it in a PDF reader and print at 100% — not "fit to page", which shrinks the writing space. Both files leave a 14 mm margin, which clears the unprintable edge on home printers. To print the online version with your entries in it, use the Print this sheet button, which prints only the sheet and none of the page around it. More on printing.

Questions

Why record the length booked on every line?

Because operators price and load by outfit size, and a booking made months ago can differ from the van you turn up with. Seeing each booked length beside the measured figure at the top makes a mismatch easy to spot.

What about gas bottles and pets on board?

Rules differ by operator and route, so the sheet states none. Check each operator's own conditions when you book and note anything that applies in the notes.

Can I use it for tunnel crossings and bridges?

Yes. Any leg you book and pay for works the same way. Put the route and operator in their columns and leave the check-in time blank if there is none.

What does the balance column show?

The cost of the crossing minus what you have paid so far. The totals row and the summary add up what is still owed across the whole tour.
