What this sheet is for

See where a trip actually went over, category by category, while you can still do something about it — and have the real figures when you plan the next one.

Who it is for

Families on a fixed budget, anyone saving for a trip, and travellers who want next year's planning to start from what things cost rather than what they guessed.

How to use it

  1. Write the currency at the top and keep one sheet per currency.
  2. Fill in the planned column before you leave, category by category.
  3. Log spending as it happens, not from memory at the end of the week.
  4. Note who paid, so a shared trip can be settled up afterwards.
  5. Fill in the actual column on the way home while the receipts are still in a pocket.

What is on the sheet

2 pages, in this order:

Page 1

Printed under the title: What you planned to spend against what you actually spent, by category, in whatever currency you write at the top.

Your currency, your figures. Write the currency in yourself and keep one sheet per currency. Every figure on this sheet is yours: nothing here is worked out or suggested for you.

Write-on lines: Trip · Dates · Currency · People

Planned against actual — your own categories — travel, rooms, food, fuel, tickets

Table, 5 rows: Category · Planned · Actual · Difference · What made the difference

Spend as it happens — write it down the same day, not at the end of the week

Table, 30 rows: Date · What it was · Category · Cash or card · Who paid · Amount

Questions

Why are there no suggested amounts or percentages?

Because what a trip costs depends on where you are going, when, how you travel and who with. Any figure we printed would be wrong for nearly everybody. The planned column is for your own estimate.

Why keep the planned table and the spend log separate?

Because they are used at different times. The planned table is filled in once, before you go, and read at the end. The log is filled in daily, in a queue or a car, and needs a row you can write in quickly.
