What this sheet is for

Keep the front page of a property file, so somebody taking it over tomorrow would know what they had.

Who it is for

Landlords with more than one property, and anyone handing a property over to an agent, an executor or a family member.

How to use it

  1. One sheet per property. Fill it in once and update it as things change.
  2. Record every recurring cost with its provider and reference.
  3. List the certificates with the date each was done and when you next want it.
  4. Keep the trades who have worked on the building — the one who fitted the boiler is worth more than a search engine.
  5. Keep it at the front of the property file.

What is on the sheet

The layout is fixed at a size that fits both A4 and US Letter, so the A4 and Letter files are visually identical and print at full size on either. Rows are set at a height that an adult can actually write a date and a few words into with a pen — most printable tables are built in a word processor and never tested with one.

Is this a legal document?

No, and it is not legal advice. It is a record sheet. What a tenancy legally requires — notice periods, how a deposit must be held, which certificates must be in place and how long records must be kept — depends entirely on where the property is, and it changes. Nothing of that kind is printed here. Establish what applies to you locally and keep this alongside it.

That depends entirely on where the property is and what kind of letting it is, so none are listed here. The sheet gives you rows to write in the ones that apply to you.
