What this sheet is for

Settle an arrears question with a document rather than a memory, and hand an accountant something that already adds up.

Who it is for

Landlords with one property or twenty, letting agents, and anyone renting a room out who wants the money side written down.

How to use it

  1. One sheet per tenancy. Fill the header in once.
  2. Record the date the money actually arrived, not the date it was due — the gap between the two is the part worth seeing.
  3. Keep the running balance going down the page. A positive balance is arrears.
  4. Note the payment reference; it is what identifies a payment months later.
  5. Carry the closing balance onto the next sheet when this one fills.

What is on the sheet

The layout is fixed at a size that fits both A4 and US Letter, so the A4 and Letter files are visually identical and print at full size on either. Rows are set at a height that an adult can actually write a date and a few words into with a pen — most printable tables are built in a word processor and never tested with one.

Is this a legal document?

No, and it is not legal advice. It is a record sheet. What a tenancy legally requires — notice periods, how a deposit must be held, which certificates must be in place and how long records must be kept — depends entirely on where the property is, and it changes. Nothing of that kind is printed here. Establish what applies to you locally and keep this alongside it.

What if the rent changes mid-tenancy?

Write the new amount in the Amount due column from the period it applies to and carry on. The ledger records what happened rather than assuming the rent is fixed.
